Before you start your Work-Study job, make sure you read and understand these important
rules:
- Hours and Pay: I know I have been given an estimated number of Work-Study hours. My hours might go
up or down depending on how much money is available and if I still qualify. I cannot
work more than 15 hours per week or 8 hours in one day. It’s my job to keep track
of my hours. If I work more than what I was approved for, I won’t get paid for those
extra hours—they will be treated like volunteer time.
- Enrollment: I must be continuously enrolled in at least 6 units of required coursework to keep
my Work-Study job.
- Academic Standards: I must meet Satisfactory Academic Progress (SAP) or follow an approved Academic Plan if I’m on appeal. If I don’t, my Work-Study
job will be canceled.
- Good Behavior: I must follow the school’s rules for good conduct, as written in the Student Conduct
Policy (AP 5500).
- No Long-Term Job Promise: This job is temporary. It is not a promise of a permanent job.
- Job Approval: My job depends on approval by the ICCD board and can be ended at any time for any
reason.
- Taxes: Work-Study earnings are taxable. I must report these wages to the IRS if I am required to file a tax return.
- Unemployment Rules: Work-Study jobs don’t count as regular jobs for unemployment insurance. If I already
get unemployment, I must tell the California Employment Development Department (EDD)
that I have a Work-Study job.
- Timesheets: I understand that I will be paid once a month for the hours worked the previous month.
I must submit my Web Time timesheet through WebSTAR by the 10th of each month. My hours will be checked and approved by my supervisor
or Human Resources staff.
- Rounding Time: When filling out my timesheet, I must round my time to the nearest quarter hour:
- 15 minutes = 0.25
- 30 minutes = 0.5
If I fill it out wrong, it will be sent back to fix, and my pay might be delayed.
- Late Timesheets: If I turn in my timesheet late, I won’t get paid until the next month’s paycheck.
- Work Hours: I can’t work during my class or test times. If class is canceled or ends early, I
must show proof. All time in and out must be written on my monthly Work-Study timecard.
- Paychecks: Work-Study paychecks will be mailed to my home address at the end of each month
unless I set up direct deposit.
- Sick Time: I can earn sick leave based on California AB 1522 rules.
- Handbook: I am responsible for reading and understanding the Work-Study Student Handbook.
- End of Program: I must pick up and turn in my evaluation/termination worksheet at the end of my job.
